A Smarter Way to Manage Your Mail

Most businesses know what they spend on postage, but that is only one part of the cost of managing outbound mail. Employee time, equipment leases, supplies, maintenance, transportation and delays all add to the expense, often across different departments and budget lines.

When you look at the entire process, the true cost of handling mail in-house can be much greater than the postage alone. Understanding those costs is the first step toward finding a more efficient way to manage your mail.

The short version
  • Lower postage cost
  • More time for your staff
  • No mail equipment to manage
  • Less driving and less liability
How much is my mail costing me?

The invoice nobody
ever writes out

These are the costs that come with managing mail in-house, and many of them never appear on a traditional mail invoice. Employee time, equipment, maintenance, supplies, transportation and other operational expenses can easily be overlooked. Once those costs are identified and added together, you can make a clear, side by side comparison of what it truly costs to manage your mail internally versus outsourcing the process.

What an in-house mail room costs, line by line
Line item Where it hides Your figure
Retail postage On the invoice statement
Staff hours In salaries
The meter lease In equipment, plus the maintenance agreement and the reset fees
Folder and inserter In capital, down time, and service calls
Trips to the post office In mileage, employee time, and liability
Undeliverable mail In postage spent

Every mailing operation is different, which is why we do not use a one-size-fits-all savings percentage. Your potential savings depend on factors such as mail class, volume, piece size and the quality of your address list.

Give us a typical month of your mailing activity and we can evaluate your current process, identify potential efficiencies and provide a realistic comparison based on your actual mail, not an estimate built on assumptions.

The six things people say
before they say yes

We would lose control of it

Outsourcing your mail does not mean giving up control. In many ways, it gives you greater visibility into the process. Your mail becomes a scheduled, documented job with accurate piece counts, postage reconciliation and a dedicated point of contact.

Instead of relying on someone internally to confirm that a mailing was completed, you have a clear process and documentation behind it. Our clients know what was processed, what it cost and who to call when they have a question.

Our mail is confidential

Protecting sensitive information is built into the way we operate. Our employees are background checked and fingerprinted, our drivers are bonded, and your mail is handled within one controlled operation from receipt through processing.

We understand that organizations handling confidential or sensitive information need to know exactly how their materials are managed. We are happy to walk your team or compliance personnel through our procedures, security measures and handling process before you entrust us with your first job.

We are too small to be worth it

You do not need to be a high-volume mailer to benefit from our services. Your mail is combined with the volume we process for other businesses, which can provide access to presort postage rates and efficiencies that may be difficult to achieve on your own.

We work with businesses with a wide range of mailing needs and volumes. We will look at what you are currently sending and tell you where our services can provide value. And if using us does not make sense for a particular mailing, we will tell you that too.

We already lease a meter

You do not have to replace your current mail process to begin working with us. Many clients continue using their postage meter for everyday mail while sending larger or more time-consuming mailings to us for processing.

Over time, you can decide what makes the most sense for your organization. Whether you continue using your meter or eventually eliminate the lease, our services can work alongside the system you already have.

What about something urgent?

Just give us a call. We understand that not everything can wait for the next scheduled route. When an unexpected or time-sensitive need comes up, our team can work with you to find the best solution.

Our established routes keep everyday pickups and deliveries running efficiently, giving us the flexibility to respond when something requires special attention.

We would have to change how we work

There may be a few small adjustments, but our goal is to work with your existing process, not completely change it. Instead of your staff handling every step internally, you simply provide us with the files or materials and we take it from there.

During setup, we take the time to understand how your organization currently handles its mail and build our process around your needs whenever possible. The biggest change is usually that your team has fewer steps to manage.

Tell us what you mail.

Tell us your mailing volume, how often you mail and how you’re handling it today. We’ll take it from there, showing you what that same mail would cost processed through our equipment, where efficiencies can be gained and what we would do differently to make the process work better for your business.
